Expedition Booking Procedure

Send Himalayan Experience an e-mail requesting the application forms. These will be sent as an e-mail attachment unless you specify otherwise. The format will be Microsoft Word v7 unless you request a different format. Please print and complete all the forms.

The Medical Form must have your doctor's details. Please print the page and post it to your doctor.  

The Curriculum Vitae must be filled in with your personal information.  Acceptance on any expedition is not automatic and we may recommend that you attempt a different expedition.  If Himalayan Experience Ltd. deems you unfit, or lacking adequate experience, your initial deposit will be returned in full.

The Expedition Client Agreement must be signed before posting it to the Himalayan Experience Administration Office.

Please mail to the Himalayan Experience Administration Office:

   1. A deposit of €1,000
   2. 4 passport photos of yourself with name and signature on the back.
   3. One photocopy of your passport

All members of the expedition must have adequate travel and medical insurance including emergency evacuation.  A copy of this policy must be sent to the Himalayan Experience Administration Office prior to departure for the expedition.

• The deposit of €1,000 is to accompany the application form.
• Upon acceptance to join the expedition, a further €4,000 will become due within 60 days of notification.
• Fifty percent  of the balance then becomes due 120 days prior to the departure date.
• The remaining fifty percent of the balance become due 60 days prior to the departure date.
• If this balance is not received by the due dates, Himalayan Experience Ltd will consider the booking to be cancelled unless there are prior arrangements made.

You will receive an account for the full amount of the expedition with details of payment due dates.

• Cancellations which are made more than 120 days prior to departure date will incur a charge of €1,000.
• Cancellations which are made more than 60 days prior to departure date will incur a charge of €2,000.
• Cancellations which are made less than 60 days prior to departure date will incur a charge of €5,000 plus real expenses related to this particular booking.
  
  

• Hotel accommodation on a share twin, bed and breakfast basis whilst in Kathmandu at the Tibet Hotel, and en-route to the Base Camp and on the return.
• Transport from Kathmandu to base camp and return.
• Visa and expedition permits required in Tibet.
• All peak fees and administration fees.
• All European guide fees - 4 clients to 1 guide ratio.
• All Sherpa Base Camp staff.
• All high altitude Sherpa staff, and their equipment.
• All meals en-route to and from Base Camp, at Base Camp, and on the mountain.
• All group equipment, such as tents, stoves, ropes, climbing equipment, party first aid, Gamow bag.
• Radio communications.
• Oxygen above 7,500m.
• Stand by jeep at Base Camp.

• Air travel to and from Kathmandu.
• Drinks, laundry, postage, telephone calls, and all other items of a personal nature.
• Lunches and evening meals in Kathmandu.
• Original entry visa into Nepal (this can be obtained at the airport upon arrival at a cost of US$30).
• Departure tax at Kathmandu airport (RS1,100).
• Personal medical and travel insurance.
• Personal spending money.

Note
Costs are based on a minimum of six. If this minimum is not reached, then Himalayan Experience Ltd reserves the right to cancel the trip and to refund all moneys, or to request those already booked to pay a surcharge to cover increased costs.  From time to time the authorities change certain mountaineering rules, which can affect the cost of the expedition. Upon notification to the client of such changes, Himalayan Experience Ltd reserves the right to charge any such increases.
